SafelySite helps construction teams review site evidence and produce safety records. This page explains the information used to provide that service.

SafelySite ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our mobile application, website, and related services (collectively, the "Service").

By using the Service, you agree to the collection and use of information in accordance with this policy.

2. Information we collect

2.1 Information you provide

  • Account information: name, email address, phone number, organization name, and password.
  • Organization data: company name.
  • Construction site data: site names, addresses, project details, and management assignments.
  • Contact information: if you contact us through this website, the name, work email, company, enquiry type, and message you submit.

2.2 Information collected automatically

  • Media files: photos and videos you capture or upload for hazard analysis. These are processed by AI for safety detection and stored securely.
  • Usage data: app usage patterns, feature interactions, analysis requests, and performance metrics.
  • Device information: device type, operating system, unique device identifiers, and mobile network information.

2.3 Information from third parties

AI analysis: We use third-party AI services, including OpenAI, to analyze images and videos. These services process your media to detect safety hazards but do not retain your data beyond the analysis.

3. How we use your information

We use the collected information for:

  • Service delivery: to provide hazard detection, compliance reporting, and safety management features.
  • Account management: to manage your account and organization.
  • Communication: to send service notifications, safety alerts, and support responses.
  • Improvement: to analyze usage patterns and improve our Service.
  • Compliance: to generate OSHAD SF, Dubai Municipality, and other regulatory compliance reports.
  • Legal obligations: to comply with UAE Federal Law No. 33/2021 on labor relations and occupational safety regulations.

4. Data storage and security

4.1 Data location

Your data is stored on Amazon Web Services (AWS) infrastructure in the Ireland (eu-west-1) region.

4.2 Security measures

  • Encryption at rest: all data is encrypted using AES-256 encryption.
  • Encryption in transit: all communications use TLS 1.3.
  • Access controls: role-based access control (RBAC) limits data access.
  • Audit logging: all access and changes are logged for compliance.

4.3 Data retention

  • Account data: duration of account plus 7 years (UAE commercial law requirement).
  • Hazard reports: 5 years (OSHAD SF compliance).
  • Media files: 2 years, or as required by your organization policy.
  • Payment records: 7 years (UAE tax compliance).
  • Audit logs: 3 years (security and compliance).

5. Data sharing and disclosure

5.1 Within your organization

Organization administrators can view all data created by organization members, including hazard reports and analysis history.

5.2 Service providers

  • AWS: infrastructure hosting - all service data (encrypted).
  • OpenAI: AI hazard analysis - photos and videos (not retained).

We do not sell personal information.

5.3 Legal requirements

We may disclose your information if required by:

  • UAE Federal Law.
  • Court orders or legal process.
  • Regulatory authorities (OSHAD, Dubai Municipality, Ministry of Labor).
  • Protection of our legal rights.

5.4 Business transfers

If SafelySite is acquired or merged, your information may be transferred as part of the business assets.

6. Your rights

Under UAE data protection regulations and our commitment to privacy, you have the right to:

  • Access: request a copy of your personal data.
  • Correction: update or correct inaccurate information.
  • Deletion: request deletion of your data (subject to legal retention requirements).
  • Export: receive your data in a portable format.
  • Withdrawal: withdraw consent for optional data processing.

7. Children's privacy

The Service is not intended for individuals under 18 years of age. We do not knowingly collect personal information from children.

8. Cookies and tracking

The mobile application does not use cookies. We use secure token storage for authentication, local storage for offline functionality and app preferences, and anonymous usage statistics to improve the Service.

9. Changes to this policy

We may update this Privacy Policy periodically. We will notify you of significant changes through in-app notifications or email to your registered address. Continued use of the Service after changes constitutes acceptance of the updated policy.
